Admin Director

This is a volunteer position.

 

The RTMF Admin Director is responsible for organizing administrative systems such file and document management, human resource and board member files, grants and contracts. Duties include: board meeting note taking, maintenance of an organizational filing and communication system (Google Workspace), maintaining organizational incorporation documents and policy documents, AGM preparation, preparing & managing occasional grant funding and other organizational needs as arising. They work closely with the Chair(s) to organize the board, AGM, and human resources; and together these positions typically work with the Operations Director to support the festival site rental relationship. Their home address is also typically the organization’s official address, and they may be designated as an official signer for the organization.

ROLE REQUIREMENTS
 

Time commitment estimates:

  • Monthly Board meetings - 1.5 hours meeting plus 1-2 hours prep or follow-up per month 

  • Additional board meetings in the festival period (June - August), plus potential board retreat or prep weekends. These are awesome times to do a lot of planning, prep, organizational development, and have fun together! The Admin Director is likely to have a key role in preparing meeting agendas and documents.

  • Time spent with key directors on specific tasks such as hiring summer staff, recruiting new board members, ensuring performer information is documented, etc.

  • Preparation and attendance at AGM, typically held in May or June.

  • Festival Week - Full time on site for the duration of the festival (Friday-Sunday). Many board members spend more time on site before the festival begins including the weekend before and prep days on Wednesday and Thursday. 

 

RTMF Directors must:

  • Be 18 or older, a Canadian citizen, and not in a state of bankruptcy.

  • Be an RTMF Board Member in good standing, which can take place after the interview and hiring process concludes! (this requires a $25 annual fee).

DETAILED ROLES AND RESPONSIBILITIES 

 

Administrative Responsibilities

  • Maintain RTMF incorporation with the Manitoba Companies Office, including using your personal address as the official office address for the organization. This entails filing the Annual Return using the online system and ensuring the annual filing fee is paid.

  • Keep an up-to-date list of board members and their relevant contact information.

  • Maintain the RTMF Google Workspace Account and Shared Drive, ensure key organizational information is easy to access and up to date. This includes policies, board job descriptions, strategic planning documents, etc.

  • Work with chair(s) to prepare board meetings, AGM, and additional meeting agendas and documents. Take accurate meeting minutes of all meetings, or ensure notetaking is delegated to another team member.

  • Work with chair(s) and Operations Director, and others as appropriate, to maintain the land use agreement with site owners.

  • Work with chair(s) and Operations Director, and others as appropriate, to recruit and hire summer staff and new board members.

  • Support Creative & Technical Directors in preparing performer contracts and advancing information, as needed.

  • When applicable funding opportunities arise, prepare grant proposals and manage funder requirements if successful.

  • Support Finance Director with financial documentation, typically serves as one of the organization's official signers along with the chair(s).

 

Board Duties

  • Participate as a member of the RTMF Board of Directors 

    • Enthusiastically attend board meetings as needed throughout the year 

    • Collaborate with fellow board members to ensure other elements of the festival are managed and maintained

    • Offer opinions and vote on board topics

    • Ensure quality of the festival from an administrative-focused perspective is not compromised

  • Board terms typically start with a training period where incoming members can shadow outgoing members, then a normal term is 3 years. Board members can serve 2 consecutive terms before stepping down for at least one year.

The Board of Directors will evaluate all applicants and contact finalists for an interview. The selected applicant will be approved by Board decision, then ratified as part of the board slate presented at the next Annual General Meeting.
